Why email needs a smaller file than the limit
Email cannot carry raw binary data. Attachments travel as Base64 text, which writes every 3 bytes of the file as 4 characters, so the message is about a third larger than the file on disk. Providers measure that encoded size: a 25 MB limit fits files up to about 18.75 MB, and a 20 MB file arrives as roughly 27 MB and bounces. Chat, cloud and transfer services count the file as stored, so their limits apply as printed. The details per provider are in the email attachment size limit.
What to do when it does not fit
Share a link instead of attaching or uploading the file.
- For email, a Google Drive link from Gmail, or a OneDrive link from Outlook of up to 2 GB per file. How to send large files via email compares the fallbacks of each provider.

How do I know if my file is too big to email?
Compare its size on disk with your provider limit after adding a third for encoding. On Gmail and Outlook.com, both 25 MB per message, files up to about 18 MB attach reliably; between 18 and 25 MB they may bounce.
Why does a 20 MB file fail on a 25 MB limit?
